Privacy Policy

1. Introduction

maptoclips ("maptoclips", "we", "us") is a browser-based tool that turns a Google Maps link into a finished 9:16 property video. The service is operated by Ephoreal Technologies (OPC) Pvt. Ltd., 14 Rajaji Street, Puducherry, India – 605004.

This policy explains what personal data we handle when you use the landing page at maptoclips.com and the application at app.maptoclips.com. By using either, you agree to this policy. If you do not agree, please do not use the service.

2. Information we collect

Account information

• Your name, email address and profile picture, when you sign in with Google or create an account by email.
• Your company or brand name, logo and WhatsApp contact number, if you add them for on-video branding.

Project content you give us

• Google Maps links and locations you paste, including the coordinates they resolve to.
• Plot boundaries you trace, along with the derived plot area.
• Render settings — map type, zoom, amenity categories and search radii, chosen roads, transitions, city segment options and reel style.
• Audio you record or upload for each voiceover section, and any music selection.
• Rendered videos produced from the above.

Payment information

Payments are processed by our payment gateway. Card numbers, UPI IDs and bank credentials are entered on the gateway's systems and are never stored on ours. We retain only the transaction reference, amount, currency, status and the plan or credits purchased.

Technical and usage data

• IP address, browser type, device type, operating system and referring page.
• Pages viewed, features used, render counts, credit consumption and error logs.
• Cookies and similar storage used to keep you signed in, remember preferences and measure aggregate usage.

We do not knowingly collect sensitive personal data such as government identifiers, health data or biometric data. Please do not include such information in project names, voiceovers or uploaded assets.

3. How we use your information

• To resolve your map link, fetch map tiles, road geometry and nearby places, and render your video.
• To create and secure your account, and to keep you signed in.
• To meter credits, process payments, issue receipts and apply refunds under our Cancellation & Refund Policy.
• To provide support when you contact us, including reproducing a failed render.
• To monitor stability and abuse, debug failures and improve output quality and performance.
• To send service messages such as render completion, billing notices and policy changes.
• To meet legal, tax and accounting obligations.

4. Data storage and retention

• Projects and renders are retained in your account until you delete them or ask us to delete your account.
• Voiceover audio is kept only as long as the project it belongs to and is deleted with it.
• Account records are deleted within 30 days of a verified deletion request, except where we must keep them for law.
• Billing and tax records are retained for the period Indian tax law requires, even after account deletion.
• Server and security logs are retained for up to 90 days, then rotated out.

Data is hosted on infrastructure in the European Union and on Cloudflare's global network. Rendering runs on our servers, not in your browser.

5. Sharing of information

We share data only with the processors that make the service work, and only what each one needs:

We may also disclose data where required by law, court order or a lawful government request, to enforce our Terms & Conditions, or to protect the rights and safety of users and the public. If maptoclips is acquired or merged, account data may transfer to the successor entity under this same policy; we will notify you before it takes effect.

6. Legal basis for processing

We process personal data under Indian law, including the Digital Personal Data Protection Act, 2023 and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011. Where the EU or UK GDPR applies to you, our legal bases are:

• Contract — to give you the account, renders and support you signed up for.
• Legitimate interests — security, abuse prevention, and improving the service.
• Consent — optional analytics, marketing email and microphone access for voiceovers. You may withdraw consent at any time.
• Legal obligation — tax, accounting and lawful requests.

7. Your rights

Subject to verification of your identity, you may:

• Access the personal data we hold about you and get a copy of it.
• Correct data that is inaccurate or incomplete.
• Delete your projects, your renders or your entire account.
• Withdraw consent for analytics, marketing or microphone access.
• Object to or restrict certain processing, and request portability of your data.
• Nominate another person to exercise your rights in the event of death or incapacity, as provided under the DPDP Act.

Write to privacy@ephoreal.com and we will respond within 30 days. If you are unsatisfied with our response, you may complain to the Data Protection Board of India or, in the EU/UK, to your local supervisory authority.

8. International data transfers

We are based in India and our processors operate in the European Union, the United States and other countries. Where personal data moves across borders, we rely on the processors' contractual safeguards, including Standard Contractual Clauses where applicable, and share only the data needed for the purpose described above.

9. Security measures

• Encryption in transit over TLS for every request to our site, app and APIs.
• Encryption at rest for stored project files and database records.
• Rendering runs server-side; our third-party API keys are never exposed to your browser.
• Access to production data is limited to the personnel who need it, on authenticated accounts.

No system is perfectly secure. If a breach affects your personal data, we will notify you and the relevant authorities as required by law.

10. Children's privacy

maptoclips is a business tool and is not directed at children. We do not knowingly collect personal data from anyone under 18. If you believe a minor has given us data, write to privacy@ephoreal.com and we will delete it.

11. Marketing communications

We send product updates and offers only if you opt in — for example by asking for early access. Every marketing email carries an unsubscribe link, or you can email privacy@ephoreal.com to opt out. Service messages about your account, renders and billing are not marketing and continue while your account is active.

12. Google API Services — Limited Use disclosure

maptoclips' use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Data obtained through Google Sign-In and Google Maps Platform is used only to provide and improve the features you requested. It is never sold, never used for advertising, and never used to train generalised AI models.

13. Changes to this privacy policy

We may update this policy as the product changes. The "last updated" date at the top always reflects the current version. For material changes we will give notice in the app or by email before they take effect. Continued use after that date means you accept the updated policy.
